Microsoft Azure gives Australian not-for-profit organisations access to enterprise-grade cloud infrastructure at a fraction of commercial cost — and for many NFPs, effectively at no cost at all through the Microsoft for Nonprofits donated credit program. Yet Azure remains one of the most under-used benefits available to the sector. Organisations that have claimed their Microsoft 365 donated pricing often leave the companion Azure benefit sitting unclaimed, or claim it and let the credits expire unused each year.
This guide explains what the Azure donated credit program offers Australian NFPs, who is eligible, what the credits can realistically run, and how Azure supports ACNC record retention obligations and remote workforce access. It also covers how managed IT for not-for-profits from Mycelium 365 ensures donated credits are used effectively before they expire.
Azure donated credits for Australian NFPs — $3,500 AUD/year
Eligible Australian NFPs receive $3,500 AUD/year in Microsoft Azure donated credits — renewable annually for as long as the organisation maintains its eligibility. These credits are provided through the Microsoft for Nonprofits program and can be used across the full Azure platform: virtual machines, cloud backup, storage, AI services, web hosting, and databases.
To put the credit in practical terms, $3,500 AUD/year is sufficient to run:
- A small Azure Virtual Machine continuously for approximately six months
- Cloud backup for a 100-user Microsoft 365 environment for a full year
- Power BI Premium per capacity for one reporting workspace
- A low-traffic website or portal on Azure App Service for the entire year
Credits expire annually and do not roll over. An NFP that claims its credits in January and does not use them by December simply loses the remaining balance — there is no carry-over into the next allocation. This is the single most common waste pattern we see: organisations claim the credit, provision nothing, and forfeit thousands of dollars of cloud capacity every year.
Mycelium 365 ensures NFP clients use their credits effectively before expiry. As part of onboarding, we map the organisation's workloads against the credit allowance, provision the highest-value services first (typically backup), and monitor consumption monthly so the credit is neither wasted nor exceeded unexpectedly.
Am I eligible for Azure donated credits?
The eligibility requirements are the same as the Microsoft 365 NFP program. Your organisation must be:
- Registered with the ACNC as a charity, or recognised as a Public Benevolent Institution (PBI)
- Validated by TechSoup Australia through the Microsoft for Nonprofits portal
Once validated, Azure credits are provisioned to the NFP's Azure subscription automatically — there is no separate application for the credit itself. If your organisation already receives donated or discounted Microsoft 365 licensing, you are almost certainly already validated and can activate the Azure credit through the Microsoft for Nonprofits portal in a single session.
Government entities, schools, universities, and political organisations are not eligible for the donated credit program. You can check your organisation's ACNC registration status at charity.acnc.gov.au.
If your validation has lapsed — which happens when TechSoup re-validation reminders go unanswered — the credit stops until validation is restored. Mycelium 365 tracks renewal dates for managed NFP clients so eligibility never lapses unnoticed.
What do Australian NFPs use Azure for?
The most common Azure use cases we deploy for Australian not-for-profit clients, in order of frequency:
Cloud backup. Azure Backup for Microsoft 365 data and on-premises servers is the highest-value use of donated credits for most NFPs — critical for meeting ACNC record retention obligations and recovering from accidental deletion or ransomware. Backup of a typical 50–100 user Microsoft 365 tenant fits comfortably within the annual credit.
Virtual machines. Many NFPs depend on line-of-business applications that cannot move to SaaS: case management systems, membership databases, grant management software, and legacy finance applications. Azure Virtual Machines host these workloads without on-premises server hardware, and a small VM running a line-of-business application typically consumes a third to half of the annual credit.
Azure Virtual Desktop. Azure Virtual Desktop (AVD) provides secure remote access for staff and volunteers on personal devices — no VPN required. For organisations with mobile outreach workers or volunteers using their own laptops, AVD keeps all data inside a governed environment regardless of the endpoint device.
Power BI. Grant acquittal reporting, program outcomes dashboards, and board reporting are perennial pain points for NFPs juggling multiple funding agreements. Power BI on Azure turns data from case management and finance systems into the funder-ready reports that program managers currently assemble manually in spreadsheets.
Web hosting. Azure App Service or Static Web Apps host low-traffic NFP websites and portals — donation portals, volunteer intake forms, member areas — at minimal cost within the credit allowance.
AI services. Azure OpenAI and Azure AI Search support document processing and knowledge management: searchable archives of policies and grant agreements, automated extraction from funding applications, and internal assistants grounded in the organisation's own documents.
Azure and ACNC record retention obligations
The ACNC requires registered charities to retain financial records for seven years, and other records for varying periods depending on the record type and the organisation's state or territory fundraising obligations. For most NFPs, the majority of these records now live in Microsoft 365 — email in Exchange, documents in SharePoint and OneDrive, meeting records in Teams.
Microsoft 365's native retention is not a backup. Deleted items age out of recovery windows, retention labels require deliberate configuration, and a ransomware event or malicious insider can destroy data across every workload simultaneously. Azure Backup provides geo-redundant, tamper-resistant backup of Microsoft 365 data — Exchange, SharePoint, OneDrive, and Teams — ensuring ACNC record retention obligations are met even in the event of accidental deletion or a security incident.
Azure Backup is managed by Mycelium 365 with quarterly restore testing as part of the Secure Cloud managed package. Quarterly testing matters: a backup that has never been restored is an assumption, not a control. Each quarter we perform a test restoration, verify the recovered data, and provide a short report suitable for board or audit-committee assurance.
Azure Virtual Desktop for NFP remote workforces
Many Australian NFPs have dispersed workforces — mobile outreach workers visiting clients, remote regional staff hours from the nearest office, and volunteers working from home on their own devices. Traditional VPN-based remote access assumes the organisation controls the endpoint; NFPs frequently cannot.
Azure Virtual Desktop solves this by moving the work to the cloud rather than extending the network to the device. AVD provides a secure, governed Windows environment accessible from any device — personal laptops, tablets, even a borrowed computer — without a VPN. Because applications and data never leave the Azure environment, a volunteer's unmanaged laptop cannot leak case notes or donor records, and access is revoked the moment their engagement ends.
For NFPs that cannot control what devices staff and volunteers use, AVD ensures all work happens in a secure, Intune-managed environment regardless of the underlying device. AVD is included in Mycelium 365's Modern Workplace managed package and runs on Azure donated credits where usage fits within the $3,500/year allowance — for small teams of occasional users, it frequently does.
How Mycelium 365 manages Azure for Australian NFPs
Mycelium 365 manages Azure for Australian NFPs end to end, including:
- Azure credit application and provisioning — activating the donated credit, validating eligibility, and linking the subscription
- Azure subscription setup and cost governance — budgets, alerts, and tagging so spending never surprises you
- Azure Backup configuration and quarterly restore testing — covering Microsoft 365 workloads and on-premises servers
- Virtual Machine management and patching — line-of-business applications kept current and monitored
- Azure Virtual Desktop deployment and management — secure remote access for dispersed teams
- Monthly Azure cost optimisation reporting — plain-language reporting showing credit consumption and remaining allowance
All Azure infrastructure costs are billed at cost with no markup — Mycelium 365's management fee is a fixed per-server/month price under the Secure Cloud managed package. Combined with Microsoft 365 for not-for-profit licensing and the NFP technology stack described in our Microsoft 365 nonprofit pricing guide, most Australian NFPs can run a complete, secure, compliant cloud environment for a fraction of what equivalent on-premises infrastructure would cost.
